Privacy notice

1. Who is responsible

Cognimate.Cloud is responsible for the personal data described here when you use Flintclip. For the content you upload about other people (for example guests in a recording), you are responsible and we process it on your instructions under the Data processing terms. 2. What we collect

Account details: your name, email address and profile picture, received when you sign in.

Workspace details: your team members, their roles and invitations you send.

Your content: videos you upload or import, their transcripts, visual notes, clips, captions, hooks, long-form copy, brand settings and comments on client review links (including the name a reviewer types).

Connected accounts: the identifier, handle and picture of each social account you connect, and the results of posts made through Flintclip. The sign-in tokens for those accounts are held by our publishing partner, not by us.

Billing: your plan, minutes used and payment status. Card details are handled by our payment partner and never reach our servers.

Technical and security data: IP address, browser type, times of sign-in, active sessions, and a log of security events such as blocked uploads or failed sign-ins.

3. Why we use it

To provide the service you asked for (performing our contract with you).

To keep the service secure, prevent abuse and investigate problems (our legitimate interest in running a safe service).

To send service messages such as clips being ready, payment problems and renewal reminders. You can switch optional notifications off on the Notifications page; security messages are always sent.

To meet legal duties such as tax and accounting records.

4. AI processing

Your videos, transcripts and brand notes are sent to AI services to produce transcripts, visual notes, scores, captions and written copy. These providers process the data to return a result to us.

We do not use your content to train models for other customers. When you publish through Flintclip, clips that perform well are used as examples only for your own brand.

5. Who helps us process it

We use service providers in these categories: cloud servers and storage, database hosting, sign-in and identity, payments (as seller of record), email delivery, speech-to-text, video understanding, AI language models, web research on public trends, and social publishing. Each acts on our instructions under a contract. A current list of providers is available on request.

We share data with social platforms only when you connect an account and ask us to post. We do not sell personal data and we do not use advertising trackers.

6. Where it is processed

Our servers and storage are in data centres in Asia and the United States, and our providers process data where they operate. Where personal data leaves your region, we rely on the transfer safeguards recognised by applicable law, such as standard contractual clauses.

7. How long we keep it

Videos and clips: for the period your plan includes (shown on the Pricing page) or until you delete them. A deleted video is removed from storage right away.

Account and workspace details: until you close your account. Billing records: as long as tax law requires. Security and audit logs: up to 12 months. Backups are overwritten on a rolling schedule.

8. Cookies

We use one essential cookie that keeps you signed in. We use no advertising or analytics cookies. The client review page remembers a reviewer's name in the browser's own storage on that device. See the Cookie notice.

9. Your choices and rights

Depending on where you live you can ask for a copy of your data, have it corrected or deleted, object to or restrict certain uses, and receive it in a portable form. Most of this you can do yourself in the app. For anything else, write to support@myagentictoolbox.xyz. You can also complain to your local data protection authority.

10. Security

Data is encrypted in transit, files are stored in private storage and served through short-lived links, sign-in secrets are never stored by us, access tokens we must keep are encrypted, sessions time out when idle, and every staff action is logged. No system is perfectly secure; if a breach affects you we will tell you without undue delay.

11. Children

Flintclip is a tool for businesses and creators and is not directed to children under 16.

12. Changes

We will post any change here and, when it is significant, tell you by email or in the app.
